We are actively seeking to fill a permanent position for an Administrative Coordinator who will play a pivotal role in advancing our mission of providing harm reduction services with a primary focus on sexual health and substance use. As an Administrative Coordinator, your core responsibilities will encompass:
Administrative Support
- Support the Executive Director and the Board of Directors with administrative functions as required including, but not limited to, preparation for Board meetings and Committee meetings, developing presentations, ordering food, and minute taking.
- Develop, format and edit documents, presentations and spreadsheets
- Assist with special projects through administrative tasks and coordination.
- Coordinate and manage the inventory and purchase of office supplies and program supplies.
- Schedule office equipment maintenance.
- Support vendor procurement and management in collaboration with the Director.
- Update and manage IT and facility inventory lists.
- Liaise with building owners regarding all facility upkeep and concerns.
- Liaise with IT consultants to troubleshoot any technology issues and ensure they are resolved in a timely manner.
- Manage fund development database and lists using Donor Perfect, Constant Contact and Excel
- Input, track, and update donor information in Donor Perfect
- Enter and process all donations received
- Create reports as requested to support fundraising goals
- Create and manage mailing lists for all invitations, newsletters, and mailing campaigns
- Collect notes from team members’ donor meetings and enter information into Donor Perfect.
- Support communications with e-newsletter content creation, website postings, and social
- media postings.
- Order branded merchandise, signage, materials etc. for events and programs
- Act as the first point of contact for HR, benefit, Payroll and HRIS queries, responding to
- questions, escalating issues to the Director when appropriate.
- Coordinate new employees onboarding process.
- Maintain records of employee current and expired mandatory licenses and certifications.
- Other related duties
Position requirements:
- Strong attention to detail and analytical skills.
- Completed post-secondary credential at a college level at a minimum
- Minimum of 3 years’ experience in an executive secretarial position related to office administration; experience in the non-profit sector would be an asset.
- Excellent computer skills and proficiency in Microsoft Office.
- Strong written and verbal English language communication skills as English is the means of communication.
- Organized and efficient self-starter with the ability to juggle multiple tasks.
- Displays professionalism and confidentiality in interacting with internal and external stakeholders.
- High comfort level working in a diverse environment.
Compensation package:
- A competitive annual salary of $53,129 with a weekly workload of 30 hours at a minimum.
- A comprehensive benefits package, which includes medical, disability, and dental benefits, as well as Basic Life, Accidental Death and Dismemberment, Dependent Life, and access to the Employee Family Assistance Program (EFAP), all subject to corporate benefit policies.
- A vacation package that provides 15 working days per year.
