Job Description and Responsibilities:

Role Description:

The primary purpose of this position is to act as the voice of the company, and as the key person, who serves, welcomes and directs visitors while contributing to the image and success of the organization.

Responsibilities:

  • Suggests and implements changes to office task workflow in order to improve efficiency.
  • Opens and closes the office.
  • Answers and directs phone calls.
  • Greets and welcomes clients and visitors.
  • Distributes mail, e-mail and faxes.
  • Prepares and send out packages.
  • Maintain and organize workspace.
  • Tracks orders and maintains vendor relationship.
  • Scans and files policy documents.
  • Maintains files and records with effective filing systems.
  • Updates excel spreadsheet and PowerPoint presentations.
  • Coordinates meetings, events and conference calls.
  • Attends company meetings and take minutes and transcribe into e-mail or document.
  • Notifies and reminds all parties of upcoming events and meetings.
  • Monitors meeting room schedules and ensure rooms are tidy after each meeting.
  • Collects and reconciles reimbursement requests for payments.
  • Maintains cleanliness of the kitchen and lunchroom including ensuring availability of beverages, cutlery, dishes, towels and other kitchen supplies. Ensure all appliances are maintained in proper working order.
  • Records and maintains office supply inventory and order supplies, including standardizing supplies,
  • monitoring consumption, and identifying opportunities for savings.
  • Responds to and/or coordinates response to various office maintenance requests and inform status of repairs.
  • Provides support for operation of our office technology. This includes the telephone system, and its features, postage machine, printers/copiers. Ensure printers/copiers & are maintained and functioning properly to meet the needs of users. Proactively identify issues and take the initiative to coordinate repairs and resolve concerns promptly.
  • Keeps and controls petty cash by counting and feeding spreadsheet with the various office expenses.
  • Monitors and records employee attendance.
  • Cross-train for other position within the company.
  • Assist co-workers with various administrative duties or other duties as assigned.

Skills Requirements:

  • Minimum of 1 year experience in an office environment.
  • Superior customer-oriented telephone etiquette.
  • Places primary importance on delivering superior customer service.
  • Projects a professional and polished image that inspires confidence and trust when welcoming visitors.
  • Ability to develop and interpret technical documentation for training and end user procedures.
  • Excellent written and verbal communication skills.
  • Able to be self-directed, motivated and capable of being focused in many areas.
  • Attention to detail and accuracy.
  • Proficient in Word, Excel, and Agency Manager.
  • Working knowledge of other components of Microsoft Office products.
  • Strong organizational skills.
  • Excellent follow-up and problem solving skills.
  • Enjoys a fast paced challenging environment.
  • Ability to work independently and within a team environment.
  • Punctual and willing to work within a flexible range of hours.
  • Ability to work well with others throughout the organization.
  • Experience with Applied Epic software

Education Requirements:

  • Level 1 Insurance Licence is required.
  • Post-secondary education in office administration or business administration required.
