Job Responsibilities 

  • Answer phones, take accurate messages, and handle incoming calls with professionalism and courtesy.
  • Respond promptly to customer e-mails, telephone calls, and messages, ensuring correspondence is managed effectively.
  • Maintain a friendly and efficient approach to handling customer queries to ensure high-quality customer service.
  • Organize and maintain schedules, appointments, and meetings to ensure efficient time management.
  • Schedule office events, including logistics coordination, and make travel arrangements as required.
  • Assist in planning and coordinating internal and external meetings, including preparing meeting materials.
  • Manage all administrative tasks by organizing and prioritizing them to ensure smooth office operations.
  • Maintain an inventory of office supplies, order them as needed, and ensure office equipment is working.
  • Arrange for office equipment maintenance and repairs to prevent disruptions to office functionality.
  • Compile and administer monthly performance data and statistical reports, contributing to organization data management.
  • Keep track of invoices, reports, and correspondence, keeping them organized and easily accessible.
  • Assist in the preparation and editing of documents, presentations, and reports as needed.
  • Manage petty cash and handle minor financial transactions for office expenses.
  • Coordinate with the finance department for timely processing of invoices and expense reports.
  • Contribute to team efforts by accomplishing related tasks as needed, demonstrating flexibility and teamwork.

 

Job Requirements 

  • Completion of Secondary school.
  • Minimum 1 year of experience or completion of college or other program for administrative assistants/secretaries.
  • Proactive, with strong organizational and communication skills.
  • Exceptional organizational and analytical skills.
  • Skill in resolving challenges promptly and efficiently.
  • Strong computer skills including effective working skills of Microsoft Word, Excel, Outlook.
  • Excellent interpersonal skills and the ability to work in a team environment.
  • Team player who is excited about making a meaningful contribution to our collaborative work culture.
