Position: Administrative Assistant

Job Responsibilities

  • Answer phones, take accurate messages, and handle incoming calls professionally and courteously.
  • Respond to client e-mails, telephone calls, messages, and other correspondence promptly, addressing their inquiries and concerns effectively.
  • Assist clients with their queries, providing exceptional customer service with a friendly and approachable approach.
  • Organize and manage office equipment, ensuring they are in good working condition. Arrange maintenance and repairs as needed to minimize disruptions.
  • Coordinate schedules, appointments, and meetings, ensuring they are well-organized, and all relevant individuals are informed.
  • Organize invoices, reports, and correspondence thoroughly, making them easily accessible when needed.
  • Maintain an inventory of office supplies and proactively order them as required to ensure the office operates efficiently.
  • Compile and generate monthly performance data and statistical reports, offering valuable insights to support decision making.
  • Take charge of scheduling office events and coordinating travel arrangements when necessary, ensuring all arrangements run smoothly.
  • Efficiently manage all administrative tasks by organizing and prioritizing them, ensuring deadlines are met and tasks are completed in a timely manner.
  • Assist with any other duties as assigned by management, demonstrating flexibility and a willingness to contribute to various aspects of the organization's operations.

 

Job Requirements

  • Completion of Secondary school.
  • Minimum 1 year of experience or completion of college or other program for administrative assistants/secretaries.
  • Excellent verbal and written communications skills.
  • Exceptional organizational and analytical skills.
  • Strong computer skills including effective working skills of Microsoft Word, Excel, Outlook.
  • Excellent interpersonal skills & the ability to work in a team environment.
