SUMMARY
The Administrative Assistant will perform a variety of administrative duties in support of the leadership team and as required through daily business needs. Administrative duties will include filing of correspondence, invoices, receipts and other records within the required ordering system. Other duties will be assigned as necessary.
JOB DUTIES. The following duties will be performed in this position:
- Research and resolve customer problems, acting as the customer liaison between other departments when necessary
- Prepare, key in, edit and proofread correspondence, Invoices, presentations, reports and related material from machine dictation and handwritten copy
- Review and send receiving records
- Create and upload BOLs in the warehouse management system and confirm/print BOLs to provide to customers
- Open and distribute incoming mail and other materials and coordinate the flow of information internally and with other departments and organizations
- Answer the telephone and relay communications as required
- Greet visitors, gain understanding for visit, assist and direct accordingly
- Compile data and other information to support daily business needs
- May supervise and training office staff in procedures and in use of currently utilized software
- Fax, photocopy and scan documents as required.
- Organize, maintain, and coordinate office records and files in their proper locations.
- Perform other duties, as assigned.
REQUIREMENTS. The successful applicant will possess, at a minimum, the following skills and experience:
- Completion of secondary school required
- Completion of post-secondary diploma or degree an asset
- Previous administrative or clerical experience required
- Excellent written and verbal skills and comprehension.
- Excellent time management skills.
- Highly organized.
- Service oriented.
- Excellent problem-solving skills.
- Able to quickly and accurately compare similarities and differences in sets of letters, numbers, objects, patterns and pictures.
- Excellent memory skills
- Able to lift 25 pounds.
- Overtime as required.
- Manual dexterity required to use desktop computer and peripherals.
